Privacy Policy

Introduction
Wisdomwave Hub Ltd ("we", "us") operates IELTS Coach, an English / IELTS preparation platform. This Privacy Policy explains how we collect, use, and protect your personal data under UK GDPR and EU GDPR.

Data we collect
Account data: email address and authentication identifiers when you sign in (magic link or Google OAuth).
Profile data: display name, study goal, Academic or General Training module, target bands, optional exam date, and native language for vocabulary.
Learning data: diagnostic results, Skill Map, practice attempts, writing drafts, quiz answers, vocabulary cards, and progress metrics.
AI interaction data: messages to Nika and AI-generated feedback on writing and speaking practice.
Billing data: subscription plan, payment status, Stripe identifiers (see Payments & subscriptions). Card details are handled by our payment processor — we do not store full card numbers.
Technical data: device type, browser, approximate usage logs, and service-worker cache for offline use.
Payments & subscriptions
Payment data. When you subscribe to IELTS Coach Premium, we collect billing-related information including your email address, chosen plan, subscription status, and Stripe customer identifier. Payment card numbers are collected and processed directly by Stripe Payments Europe Ltd (or Stripe Payments UK Ltd for UK payments) — we do not store your full card number, CVV, or magnetic stripe data on our servers.
Lawful basis. Processing payment and subscription data is necessary to perform our contract with you (UK GDPR Art. 6(1)(b)).
Stripe. Stripe acts as our payment processor. Their privacy notice is at https://stripe.com/privacy. We have a Data Processing Agreement with Stripe. Stripe may process data in the United States and other countries under appropriate safeguards (Standard Contractual Clauses / UK International Data Transfer Agreement).
What we store. Subscription plan, status (trialing, active, canceled, past_due, or complimentary), current period end date, trial usage, coupon applied (if any), withdrawal waiver timestamp, billing terms acceptance, and Stripe customer/subscription IDs. Invoice amounts and dates are available via Stripe Customer Portal.
Retention. We keep subscription and billing records while your account is active. After you delete your account we erase study and profile data, but we may retain invoices, payment amounts, dates, tax identifiers, and related accounting records for up to six (6) years from the end of the relevant accounting period as required by UK tax law (Finance Act 1998, Schedule 18; Companies Act 2006 accounting records). That retention is a legal obligation (UK GDPR Art. 6(1)(c) and Art. 17(3)(b)) — it is not used for marketing. Webhook processing logs are retained for ninety (90) days.
Your rights. From Profile you can export a portable copy of your data (including a billing summary: plan, status, and period end — never a card number) or delete your account. Deletion cancels any Stripe subscription immediately, then erases the account. Tax records described above may remain in Stripe and our accounts for the statutory period.
AI coaching (automatic)
When you continue past onboarding step 2 (your study goal), AI coaching turns on so Nika chat and AI-enriched feedback work as part of IELTS Coach.
Nika’s AI coaching can err — use feedback to practise; it is not an examiner or official score. Rules-based estimates can still run if a cloud model is unavailable.
When AI coaching is active, prompts may be sent to Google Gemini, Groq, or a local Ollama instance under those providers’ terms.
Improving Nika (training data)
At the same time as AI coaching (onboarding step 2), Improve Nika also turns on. We may store redacted copies of your AI coaching exchanges to train and evaluate our own IELTS tutor model.
We redact emails, phone numbers, tokens, and similar identifiers before storage. Training logs are kept up to 730 days by default, then purged automatically.
To withdraw Improve Nika or delete stored training data, contact support@nika-ielts.com. Deleting your account also removes stored training logs tied to you.
If data was already used in a model export, it is excluded from the next retrain; removing influence from trained weights requires a scheduled retrain.
Lawful basis
Contract: providing the study platform you sign up for, including paid subscription features and processing payments for Premium access.
Consent / contract performance: AI coaching and Improve Nika as part of service setup described in our Terms.
Legitimate interest: security, fraud prevention, and improving the learning experience.
Legal obligation: tax and accounting records for subscription payments where applicable.
Storage & retention
Account and study sync: Supabase (Postgres) with row-level security, hosted in the EU where configured.
Offline study: your browser (IndexedDB) until you sync or clear site data.
Training logs: Supabase first; local server fallback during development only.
Practice attempts are retained while your account is active unless you request deletion sooner.
After account deletion, invoices and tax records may be retained for up to six (6) years from the end of the relevant accounting period where UK law requires it (see Payments & subscriptions). Study data, chat, and profile data are erased.
Your rights
You may request access, correction, export, or deletion of your personal data from Profile (Export my data / Delete account) or via support@nika-ielts.com.
Export includes a billing summary (plan, status, period end). Payment card numbers are held by Stripe — not stored on our servers.
Ask us to stop using your exchanges for training or delete stored training data via support@nika-ielts.com.
Deleting your account cancels your Stripe subscription immediately. You can also cancel from Profile → Manage subscription and keep a free vocabulary-only account.
Lodge a complaint with your supervisory authority (e.g. ICO in the UK).
Independence
IELTS Coach is an independent educational platform operated by Wisdomwave Hub Ltd. IELTS® is jointly owned by the British Council; IDP IELTS; and Cambridge University Press & Assessment. We are not affiliated with, endorsed by, or connected to IELTS partners unless a separate written partnership exists.
Changes
Last updated: 7 September 2026. We will notify registered users of material changes via email or in-app notice.
